Time Management for Busy Moms: Why Energy Matters More Than Schedules with Alice Dartnell

Time Management for Busy Moms: It’s Not What You Think

If you’re a mama juggling work, kids, and everything in between, you’ve probably tried every time management hack in the book. Colour-coded calendars, productivity apps, time-blocking techniques. Sound familiar? But what if I told you that traditional time management is missing a crucial piece of the puzzle?

In my latest podcast episode, I sit down with time and energy management coach Alice Dartnell to explore why energy management is the game-changer busy moms have been looking for. Alice’s approach flips everything we think we know about productivity on its head, and her insights are both refreshing and revolutionary.

The Four Types of Energy Every Mom Needs to Balance

Alice breaks energy down into four essential areas: physical, mental, emotional, and spiritual. “We need balance,” she explains. “You might be ticking the physical box by going to the gym, but if you’ve got something emotionally draining going on, maybe going to the gym isn’t the right thing to do because it’s just going to add to that stress.”

This holistic approach recognizes that as moms, we’re not just managing our time, we’re managing our entire selves across multiple demanding roles.

Why Traditional Time Management Fails Mums

The problem with classic time management, Alice reveals, is that it treats our days like a train timetable: rigid and unforgiving. “What we’re not considering is things like: is something going to go wrong? Are there any contingencies? If your kids aren’t sleeping that night because they’re teething, have you allowed some buffer?”

Real mum life includes spilled breakfast, teething babies, and unexpected meltdowns (both theirs and ours!). A truly effective system needs to account for these realities, not pretend they don’t exist.

The Power of “Mode” Management

One of Alice’s most powerful concepts is knowing what “mode” you’re in. She shares the story of client Leanne, who was struggling to work while her kids were home at 3 PM. The solution wasn’t better multitasking, it was embracing single-tasking by dedicating 3-6 PM to pure “mum mode,” then returning to work mode later in the evening.

“She wasn’t trying to multitask her two roles or her two identities,” Alice explains. This approach reduced stress and actually increased productivity in both areas of her life.

Redefining Productivity for Moms

Here’s a truth bomb from our conversation: productivity isn’t about doing more, it’s about doing what matters. Alice defines a productive day as one aligned with your values and priorities. “Sometimes a productive Saturday might mean movie day with the kids eating ice cream, and that’s productive enough.”

This perspective shift is crucial for moms who often feel guilty for “just” spending time with their children or taking moments for self-care.

The Overwhelm Solution: Brain Dump, Triage, Plan

When overwhelm hits (and let’s be honest, it happens to all of us), Alice has a simple three-step process:

  1. Brain dump everything from your mind onto paper
  2. Triage your list: what’s actually a priority versus what’s just mental noise?
  3. Plan when you’ll tackle each item instead of letting it swirl in your head

“Nine times out of ten, maybe even more, this process works,” Alice shares. “No client has ever come to me and said it hasn’t worked.”

The Importance of White Space

Perhaps most importantly, Alice advocates for “white space” in our calendars, those precious buffers that allow for life’s unpredictability and our brain’s need to process and restore. This isn’t about being lazy; it’s about activating what neuroscientists call the default mode network, where our best ideas and solutions emerge.

Your Energy Is Your Superpower

As mums, we’re constantly giving our energy to others. Alice’s approach reminds us that managing our energy isn’t selfish, it’s essential. When we’re operating from a place of balance across all four energy types, we show up better for our children, our partners, our work, and most importantly, ourselves.

The conversation with Alice left me feeling both validated and empowered. Her practical strategies combined with her understanding of the unique challenges moms face make this episode a must-listen for any parent feeling stretched thin.
